Summary

The Administrative Assistant will interact and coordinate with lateral organizations or external agencies as required, including base facility, personnel, security, computer support, and building managers, to facilitate day-to-day operations.

Responsibilities
  • Support meetings and events hosted by government personnel on an as-required basis.
  • Schedule meetings and briefings in conference rooms for office staff; provide pre-event planning support, to include but not be limited to, agenda development, room/location reservation and setup, attendee invitations, Distinguished Visitor (DV) parking, presentation preparation, and travel requirements.
  • Support CONUS in-event execution, including but not be limited to graphics, facilitation, general administrative, and protocol support. Administrative support CMEs shall not travel to OCONUS locations.
  • Support post-event actions and follow-up requirements from government personnel.
  • Support the development, maintenance, and modification of Directorate/Division/Program schedules and calendars.
  • Ensure consistency across multiple calendars and schedules to ensure applicable government personnel always has the most current information.
  • Support the planning, formulation, editing, development, publication, and storage of finished products, to include but not be limited to, program documentation, plans, directives, reports, briefings, and other presentations as required (technical, non-technical, classified, and unclassified) in the media and format requested.
  • Other duties as assigned

Qualifications
  • Master's degree and 10+ years of experience in the respective technical/professional discipline OR
  • Bachelor's degree and 12+ years of experience in the respective technical/professional discipline OR
  • 15+ years of office administration related experience
  • Active secret clearance required

  • Ability to work independently and yet be effective within a team setting
  • Must be capable of managing multiple efforts with time related constraints in a fast-paced contracting environment
  • Demonstrated ability to effectively communicate and collaborate with diverse internal and external stakeholder groups and individuals
  • Friendly presence, helpful attitude, good interpersonal skills, and ability to work well with others
  • Excellent skills in Microsoft Word, Excel, and other Office applications
  • Experience working in a home office setting
  • Ability to train end users on frequently asked technical issues
  • Ability to provide technical assistance and support over the phone with good phone skills and a professional demeanor
  • Previous customer service experience strongly desired
