Summary:

The Management Operations Analyst is responsible for reviewing current and future business operations in terms of resource needs, to include human, facilities, etc. The Management Operations Analyst will be responsible for developing, maintaining, and supporting the processes necessary to ensure that business operations needs are most efficiently and effectively met.

Duties and Responsibilities:
  • Manage daily operations support for the Management Operations Division and personnel.
  • Coordinate with the USG all requests for Freedom of Information Act (FOIA) and Privacy Act information.
  • Conduct in and out processing of personnel as they enter, move within, or exit the Directorate.
  • Perform all aspects of mail management for the Directorate to include, but not be limited to, maintaining the mail log (UPS, Fed Ex, classified, 3rd party mail, and outbound Fed Ex shipping); receiving, signing and distributing unclassified and classified mail (process, maintain, and filing classified mail receipts, contacting authorized personnel for classified material delivery, and ensuring packages have authorized signatures); accessing, storing, and handling classified material as required.
  • Create and maintain tracking unit staffing and preparing organizational charts, updating Pyramid Alert/Recall and Shelter-In-Place rosters.
  • Perform the ordering, receiving, storage, distribution, and accountability of office supplies and equipment (gathering requests for supplies and preparing itemized lists for supplies/equipment to be ordered and purchased by the Government office).
  • Operate facsimile equipment and video teleconferencing (VTC) equipment, including VTC bridge scheduling and VTC connectivity.
  • Participate in weekly and monthly meetings, providing regular updates on program status and customer satisfaction to executives.
  • Other duties as assigned

Minimum Qualifications: (To perform this job successfully, an individual must be able to perform each essential duty satisfactorily.)
  • Bachelor's degree and a minimum of 3 years of experience OR
  • High school diploma or GED equivalent and 7 years of directly related experience
  • Secret Clearance required

  • Ability to work independently and yet be effective within a team setting
  • Ability to manage multiple efforts with time related constraints in a fast-paced contracting environment
  • Demonstrate ability to effectively communicate and collaborate with diverse internal and external stakeholder groups and individuals
  • Friendly presence, helpful attitude, good interpersonal skills, and ability to work well with others
  • Excellent skills in Microsoft Word, Excel, and other Office applications
  • Proficient with Microsoft Office applications, and experience working in a home office setting as well as the ability to train end users on frequently asked technical issues
  • Ability to provide technical assistance and support over the phone; good phone skills, professional demeanor, previous customer service experience strongly desired
  • Good problem-solving skills; ability to visualize a problem/situation and think abstractly to solve it

  • The employee will normally work in a temperature-controlled office environment, with frequent exposure to electronic office equipment.
  • During visits to areas of operations, may be exposed to extreme cold or hot weather conditions. Is occasionally exposed to fumes or airborne particles, toxic or caustic chemicals, and loud noise.
