Training and Events Coordinator

Westat is an employee-owned corporation providing research services to agencies of the U.S. Government, as well as businesses, foundations, and state and local governments. Westat's research, technical, and administrative staff of more than 2,000 is located at our headquarters in Rockville, Maryland, near Washington, DC.
Job Summary:
Westat is seeking a training and events coordinator who will support and promote the development and implementation of interactive events for several large- and small-scale education projects. The ideal candidate will have experience and knowledge with events management and relationship building. This position is based either in our Austin or San Antonio offices.
Job Responsibilities:
• Partner with project leaders to assess all operational needs for the training and technical assistance teams.
• Maintain agendas, notes, and minutes of various team and client meetings.
• Develop resource documents as needed for the project such as event agendas, handouts, manuals, and registration sheets. Keep track of such documents in an orderly fashion with appropriate naming and filing conventions.
• Create and manage online event registration and corresponding event marketing.
• Manage and promote participation in a wide variety of communications and social media activities, including but not limited to email marketing, webinar management, twitter and other social media channels.
• Track, manage, and maintain purchase orders and other billing instruments that may be used in some events or at an annual conference.
• Manage coordination and interactions with project teams, colleagues, vendors, graphic designers, videographers, web developers, and clients.
• Provide backup technical support for training and communications efforts such as Adobe Connect, WebEx, Zoom, Skype and other web conferencing services. Familiarity with Vimeo and other video platforms along with other tools like MailChimp, SurveyMonkey, or Typeform is a plus. Experience with conference support apps and on-line tools is a plus.
• Website content management - familiarity with basic HTML is a plus but not necessary.

Basic Qualifications:
• A bachelor's degree in business management, communications, public relations, adult education, or related fields and experience in administration or event coordination.
• 1-year of customer service experience.
• The ability to travel as necessary within the role for business purposes, approximately 20%.
• Working knowledge of Microsoft products is required.

Candidates should be comfortable with speaking and reading in front of large groups and be flexible to work adjusted shifts based on supporting team and events. Candidates must possess excellent communication skills, be detailed oriented and able to work independently as well as in a team environment.
