As a Project Specialist you are vital in scaling the WP BrandStudio's fast growing multiplatform digital business with key responsibilities in assisting with the coordination and execution of creative projects. Working across creative and video teams, you will be responsible for streamlining communication across team stakeholders, research and scheduling assistance, and ensuring that processes are seamless and efficient.  You're a fearless creative problem solver that proactively pinpoints, reports on, and resolves issues that arise pertaining to daily operations. You thrive on supporting projects from concept through execution and understand the importance of keeping pace with milestones and deadlines across design, UX, engineering, and video production phases of workflow.

  • Serve as support to the Creative team for digital design, experience, and ad products, flexing between projects as needed
  • Support creative team and Lead Producer researching creative/production companies and freelancers
  • Work with Lead Producer to research locations/talent qualifications needed for upcoming video and podcast projects 
  • Coordinate creative projects through pre-sale and post-sale lifecycles
  • Problem solve timeline and process challenges with creative team members and provide solutions, considering where resources are available and most needed
  • Develop and maintain project or new product documents as needed: creative requests, functional specs, copy decks, call sheets, vendor/briefs, asset deliverables/library, and performance analysis
  • Schedule meetings to support the creative process and distribute agendas with meeting recaps and actionable items
  • Support the approval process internally with creative leads and cross-functionally with executive leaders
  • Assist with quality assurance testing and analytics tracking implementation
  • Coordinate with data & insights team to recap and create design debriefs for completed projects; facilitate discussions on lessons learned and new knowledge gained at weekly team meetings; document properly and share
  • Support Creative Director, Art Directors, and Lead Producer by maintaining communications with and updating a catalog of freelancers, illustrators, technology vendors, video production studios, and creative agencies
  • Manage BrandStudio experience and content catalog for awards and marketing the Studio

Required Qualifications
  • Strong project support skills maintaining goals, timelines, and internal and external customer expectations
  • 1-2 years of experience managing digital projects and familiarity with design, web development processes, social media, and video production coordination
  • Ability to understand program milestones and development processes
  • Experience working with Asana/Jira (or comparable project management tool), Adobe CC, InVision, MS Office tools, and Google Docs
  • Attention to detail; diligent, proactive, organized, accountable, analytical, and highly-motivated team player
  • Quick learner of new technologies, tools, and processes; ability to adapt to changing tides
  • Exceptional communication skills

Bonus Points:

Experience working at for a creative agency in a client-facing project management or coordinator role

Familiarity with Content Management Systems (WordPress or SAAS)

Entry level graphic design experience
