Primary Purpose

The Executive Assistant assists the executive team with administrative projects and tasks.

Responsibilities
  • Supports the work of two assigned, C-suite executive team members, including managing multiple calendars and commitments; prioritizes inquiries and requests while troubleshooting conflicts; makes judgments and recommendations to ensure smooth day-to-day engagements
  • Coordinates all senior executive team meetings and retreats; assists with staff meetings and events as needed
  • Acts as the point of contact among executives, board members, employees, clients, and other external partners, including utilizing discretion when dealing with highly confidential or critical matters
  • Prioritizes and determines the appropriate course of action, referral, or response, exercising judgment to reflect the executive team's style and organization policy
  • Manages information flow and looks for ways to improve current systems
  • Makes travel arrangements, prepares detailed travel itineraries, arranges meetings, and processes expense reports
  • Assists executive team with special projects; coordinates budgets and prepares reports as needed
  • Designs and produces complex documents, reports, organizational charts, and presentations
  • Schedules and prepares materials for meetings with U.S. and international staff and outside parties
  • Takes minutes, provides summaries, and follows up on action items generated from various meetings
  • Builds relationships with Executive Assistants throughout the team and across the company as well as with Human Resources, Finance, and Contracts for the organization
  • Provides support for Board meeting presentations and collaborates with other Executive Assistant staff to ensure materials are provided in a timely manner
  • Other duties as assigned

Experience
  • Experience supporting executive team members with administrative functions
  • Excellent organizational and communication skills
  • Demonstrated ability to use an elevated level of discretion when handling confidential or proprietary information related to business operations
  • Desired self-starter approach to work, routinely applying judgment skills to understand prioritization of meeting requests and contacts according to most strategic calendaring needs
  • Advanced ability to utilize MS Office 365 applications including Word, Excel, PowerPoint, SharePoint, Teams, and OneDrive
  • Organizational charting software skills desired, including Visio or similar software application
  • Knowledge and ability to run meeting software and trouble shoot virtual meeting platforms (e.g., Zoom)
  • PC computing abilities and aptitude
  • Understanding of biopharmaceutical and contract research industries including terminology and therapeutic areas used during day-to-day interactions desired, but not required
