Management Operations Specialist


The Management Operations Analyst is responsible for reviewing current and future business operations in terms of resource needs, including human and facilities, etc. The Management Operations Analyst will be responsible for developing, maintaining, and supporting the processes necessary to ensure that business operations needs are most efficiently and effectively met.

  • Manage daily operations support for the Management Operations Division and personnel.
  • Coordinate with the USG all requests for Freedom of Information Act (FOIA) and Privacy Act information.
  • Conduct in-and-out-processing of personnel as they enter, move within, or exit the directorate.
  • Perform all aspects of mail management for the directorate, including but not be limited to maintaining the mail log (UPS, Fed Ex, classified, 3rd party mail, and outbound Fed Ex shipping), receiving, signing, and distributing unclassified and classified mail (process, maintain, and filing classified mail receipts, contacting authorized personnel for classified material delivery, and ensuring packages have authorized signatures), accessing, storing, and handling classified material as required.
  • Create and up-keep tracking unit staffing and preparing organizational charts, updating Pyramid Alert/Recall, and Shelter-In-Place rosters.
  • Perform the ordering, receiving, storage, distribution, and accountability of office supplies and equipment (gathering requests for supplies and preparing itemized lists for supplies/equipment to be ordered and purchased by the government office).
  • Operate facsimile equipment and video teleconferencing (VTC) equipment, including VTC bridge scheduling and VTC connectivity.
  • Participate in weekly and monthly meetings, providing regular updates on program status and customer satisfaction to executives.
  • Other duties as assigned

  • Bachelor's degree and 3+ years of experience OR
  • High school diploma or GED and 7+ years of directly related experience in lieu of degree
  • Secret clearance required

  • Ability to work independently and yet be effective within a team setting
  • Must be capable of managing multiple efforts with time related constraints in a fast-paced contracting environment
  • Demonstrated ability to effectively communicate and collaborate with diverse internal and external stakeholder groups and individuals
  • Friendly presence, helpful attitude, good interpersonal skills, and ability to work well with others
  • Excellent skills in Microsoft Word, Excel, and other Office applications
  • Experience working in a home office setting
  • Ability to train end users on frequently asked technical issues
  • Ability to provide technical assistance and support over the phone with good phone skills and a professional demeanor
  • Previous customer service experience strongly desired
  • Good problem-solving skills with the ability to visualize a problem or situation and think abstractly to solve it
